Background of the Corporation
B-Incorporated was established in 2000. B-Incorporated is a fortune 500 company with approximately 2500 full-time employees. B-Incorporated is a leading manufacturing company in the roofing products industry. B-Incorporated manufactures and creates its own roofing products. B-Incorporated currently holds 39 patents in or related to roofing products.
Summary
B-Incorporated is actively seeking qualified candidates to submit a proposal to an upcoming project. The project involves migrating B-Incorporated’s current enterprise email system to a more current and scaleable one. B-Incorporated is a growing company and needs to meet future demands of email. The current system is slow and outdated.
Proposal Guidelines and Requirements
This request is open to the general public. It is assumed that all submissions will be treated equally without regard to competitors.
Date of submission deadline: The latest date for submission will be 11:00 P.M. EST on March 17th, 2007.
All proposals submitted after the deadline will not be accepted. All proposals submitted after the deadline will not be returned due to the expense of postage.
If the submitting parties meet the deadline requirements the proposal must be signed and dated on all pages where applicable. All signatures must have signing authority i.e. an agent that legally represents the company.
Proposals that are accepted should include a breakdown of all items with corresponding costs. Costs that are to also be included are direct and indirect costs. All submitting parties will incur all costs to produce the proposal and other related fees to the creation of proposal.
The proposal is to include details on the workforce whether it’s internal or provided by an external firm such as a subcontractor.
All accepted proposals are not a guarantee that the submitting company will be awarded the job. All accepted proposals are and will not be considered a contract.
Contract Terms:
B-Incorporated reserves the right to accept or reject any or all contracts. B-Incorporated will negotiate all terms and conditions upon acceptance of a proposal. A separate contract will be signed by both parties. All documents will be reviewed by an independent legal office.
Purpose, Description and Objectives
The purpose of the migration and implementation of a new enterprise email system is to increase speed and handle growing demand on the email system. Currently the email system is very slow and outdated for B-Incorporated’s demands. B-Incorporated would like to utilize more features that are available in other email systems that are not currently available in the email system. B-Incorporated would like to use a new email system by IBM called Lotus Notes. B-Incorporated has tested Lotus Notes at another company and really likes the added features and speed of Lotus Notes.
After successful completion of the integration of the new email system B-Incorporated will assume all management functions and maintenance of the new email system.
Description
B-Incorporated requests that the new system be faster than the current system. The new system will need to be scaleable. B-Incorporated would also like to be able to utilize the new features with emphasis on the database functionality. B-Incorporated needs to have the new email system have reliability as its main focus. B-Incorporated cannot afford to have an email system that is unreliable.
Objectives
B-Incorporated’s main objectives are to improve speeds and reliability with the new system. The new email system will improve efficiency and productivity through the use of a new robust email system. The added features of the new email system will allow B-Incorporated to do more with email.
Timeline
This RFP has been distributed on February 25, 2007.
Date of submission deadline: The latest date for submission will be 11:00 P.M. EST on March 17th, 2007.
Select a proposal on April 25th, 2007.
Notification of the selected winning proposal will be sent out to the owners of the proposal on May 1st, 2007.

Evaluation Guidelines
All proposals will be evaluated on how well the proposal meets the requirements of B-Incorporated. Proposals must be within budget and meet all time constraints. All hardware and software choices will also be evaluated. Reliability, performance, and scalability choices will be evaluated for expected future demands of the organization.
Required Proposal Items and Format of Proposals
Executive summary – Should be a thorough overview of the proposal.
Scope of the project – Should include all work to be performed in detail.
Deliverables – All proposals are to be contained in a 1” three-ring binder. A request of 10 copies is needed.
Detailed list of equipment, labor, and other costs/expenses.
